Center Policies

Payment

Payment is due at time of service. We require a credit card on file to book all appointments. This includes clients paying with a gift card. We accept credit cards, cash payments, and valid gift cards for massage services and gratuity. Mental health and nutrition therapy clients must have a valid credit card on file. Clients receiving mental health, medication management, and nutrition therapy services are required to comply with our automatic payment policy found here. Clients with unpaid balances for 30 days will be referred to our collections agency for resolution. If a client's account is sent to collections, they will no longer be permitted to schedule appointments or receive services from any of our providers.

As of 11/12/24, we are no longer offering gift cards or online gift certificates for purchase. This is due to extremely limited massage appointment availability. Please check back for updates on this policy change.

New Clients

New clients are required to sign consent forms and complete intake paperwork at least 48 business hours prior to the scheduled appointment time. These forms can be completed via email or text link. If you do not complete these required documents, your appointment will be cancelled. You must be a minimum of age 18 to consent to treatment. If you are between the ages of 4 and 17, there are additional consent forms required for treatment. Clients ages 15 and under are required to have parental or legal guardian consent. We abide by state laws and HIPAA rules regarding consent for treatment for all clients.

Cancellation Policy

We require 24 hours notice for appointment cancellations. If you cancel your massage appointment within 24 hours of your scheduled appointment time, you will be charged the full fee of your scheduled service. Exceptions to this include emergency and inclement weather. If you late cancel or miss your medical massage (i.e. private insurance, PIP, or L&I), you will be charged a $95 fee. Insurance does not cover these fees.

If you cancel consistently (regardless of following the 24 hour rule) and miss 50% or more of your scheduled appointments, you will not be able to schedule any other appointments in advance. You will only be able to schedule same-day appointments (i.e. You will be able to be placed on our waiting list and called if there is an opening).

Psychotherapy and nutrition appointments also require 24 hours notice for cancellation. Late cancellations will result in a $100 fee. This fee is not covered by insurance. Exceptions to this include emergency, inclement weather, and illness.

If your treatment provider cancels your appointment due to illness or personal emergency, we will do our best to re-schedule your appointment in a timely manner. We do not offer monetary compensation or reduced rate for service fees if your appointment is cancelled.  

Missed Appointments

Missed appointments for wellness massage therapy will result in the full fee of the scheduled service charged to your credit card on file. Missed appointments for medical massage treatment will incur a $95 fee. Missed psychotherapy and nutrition therapy appointments will incur a $100 fee. We provide text, email, and phone confirmations and reminders of your scheduled appointments. Please check these reminders to ensure you arrive at the correct time. If your reminder indicates a different day or time than you had scheduled, it is your responsibility to contact us immediately.  

Late Policy

If you are more than 15 minutes late to your scheduled appointment, you will be asked to reschedule and will be charged the missed appointment fees described above. If you miss the start of your appointment due to being late, your therapist will not add extra time to your treatment. You will still be charged the full fee of your appointment if you are late.  

Refunds

Refunds are not available for services, gift cards, retail items, membership fees, and fees for medical services. If you are dissatisfied with your treatment or retail purchase, please notify us via email. We will attempt to work towards a reasonable resolution to the best of our ability.

Right to Refuse Service

We have the right to refuse or cancel services for any nondiscriminatory reason towards team members and/or other clients.

Children and Guests

Children and guests are not permitted to wait in the center while you are receiving services. Please plan ahead to ensure that you have a positive experience.

Gratuity

Gratuity is never required but always appreciated.

Membership

The membership fee is $120 per month for a 90 Minute Massage Membership and $90 per month for a 60 Minute Massage Membership. You will be entitled to one 90 minute custom massage per month or one 60 minute custom massage per month. You are required to set up auto-payment with a valid credit card that will be charged each month. A minimum of 3 consecutive months is required to start your membership. You can cancel your membership after the 3 month introductory period with no penalty. You must notify us via email at bloomandblossomspa@gmail.com to cancel your membership. We require a minimum of 5 business days to process your request, so please plan accordingly. Memberships can be paused with approval from the owner. Please submit your request in writing to pause your membership.

​Clients with a monthly membership are entitled to unlimited 90 minute massage treatments OR 60 minute massage treatments at the membership rate. While we will do our best to accommodate your schedule, availability is not guaranteed. It is recommended that you schedule your appointments in advance. Your membership massages do not expire and can be used for future treatments if you miss your monthly treatment. You are not permitted to gift your monthly massage or transfer to others. The membership is non-transferable.

The membership program will no longer be available as of 1/1/25. For those with existing membership credits, you are permitted to use those towards massage services past 1/1/25. 

Safety Protocol

All clients and team members are required to follow safety guidelines. Do not enter the center if you have any cold or flu symptoms. Masks are optional in our treatment rooms. If you prefer your provider to wear a mask, please let us know prior to your appointment.

Our cleaning and sanitizing protocol is extensive and rigorous. There may be times when extra cleaning tasks lead to a delay in the start of your treatment. We ask for patience and understanding if this occurs.  

Confidentiality & Privacy

All team members are required to sign a privacy and confidentiality agreement at the start of their employment.  Your information will not be shared without your consent. We use HIPAA-compliant software for scheduling and maintenance of electronic medical records. Paper documents with confidential information are stored in locked file cabinets at all times. The center is protected by a security system during non-business hours. We have taken these precautions to comply with Washington state laws as well as to protect your information as best we can.

The center is a unique setting. We are performing complementary treatments that have different rules and regulations. Specifically, there are different laws for storing and managing psychotherapy records vs. massage therapy records. We use Simple Practice to manage mental health and nutrition therapy scheduling and records and Vagaro for management of massage scheduling and records. Information is never combined into one medical record. If you need medical records for any reason, you'll be required to sign a consent form that specifies the type of records you are seeking. While we strive to minimize hard copy paperwork, any written or signed documentation is stored in separate locked file cabinets.

Bringing in Products

You are NOT permitted to bring your own massage, body, or other products for your treatment. This includes any products that were purchased at Bloom and Blossom. This is to protect our therapists from any unknown substances and possible allergic reactions. 

Expectations

Bloom and Blossom Wellness Center is designed to be a healing space. We strive to provide a professional, welcoming, and peaceful atmosphere. Please be mindful of these expectations while engaging in center services and while utilizing waiting areas. We ask that you inform us of any concerns or have feedback to help us improve.
